Student Responsibility for Registration Procedures

Graduate students are responsible for adhering to and knowing the following policies and procedures.

All students are expected to observe the academic policies and practices of the University set forth in the Graduate Bulletin. To correct registration errors students will have to complete the Academic Exceptions process.

Denver Campus MSW Program Course Schedules and Field Registration Information

Use the Online Course Schedule for real-time enrollment and faculty information. Degree requirements and course planning materials are available on the Academic Planning page.

  • Fall Quarter 2023
    • Course Schedules: The most up-to-date course schedules are in MyDU.
      • Tips for Viewing the Course Schedules:
        • Search by the subject "social work" and use the attribute "Social Work: Denver" to see only your program's classes.
        • All of your sections are in the 1s or 100s. If you see 200s, 300s or 500s, these sections belong to other MSW programs and you cannot register for them.
    • Field Internship Registration:
      • You cannot register for field internship until you submit your Field Confirmation Form. One week after you submit the form, instructions on how to register for fall quarter SOWK 4950 Foundation Field Internship and SOWK 4970 Foundation Field Internship will be sent to your DU email address. The field course registration instructions will come from field@du.edu and will specify which CRN, section and instructor (liaison) to register for. Via MyDU, directly enter your specific CRN to register for the correct section of Field Internship. 
        • You cannot use the "Find Classes" or search function for field internship sections during the Fall Quarter, we turn the search feature off. You will directly enter your specific CRN to register. Watch this video to learn more about how to enter a CRN.

    We will begin sending field registration instructions with your specific CRN on June 20, 2023. If you submitted a Field Confirmation Form prior to June 20, you will receive your registration instructions the week of June 20.

  • Winter Quarter 2024

      • For Winter Quarter 2024, you will register in your current Field Liaison's section of the appropriate field internship course (SOWK 4950 = Foundation Students, SOWK 4970 = Concentration Students). Your current GSSW Liaison is the adjunct faculty member you have been working with since the beginning of Fall Quarter. If you are in an internship and unsure of who your Field Liaison is, please refer to the name of this person who was listed in the email you received at the beginning of fall quarter from field@du.edu.
      • Do not register for any section of your choosing. You are only authorized to register for your current liaison’s section. If you do not currently have a liaison, you are not authorized to register and must email field@du.edu to inquire. Four Corners MSW Program Course Schedules and Field Registration Information

  • Fall Quarter 2023
    • Course Schedules: The most up-to-date course schedules are in MyDU
      • Tips for Navigating the Online Course Schedules:

    • Field Internship Registration: During the Fall Quarter, you will need to register for section FC of your Field Internship class. Section FC is a generic section of the Field Internship classes. The following is the class information including the CRN that you will use to register properly.
    • SOWK 4970, Section: FC, Concentration Field Internship, 4 credits, CRN: 4464.
      • Why do I register for a generic section of Field Internship class during the Fall Quarter? When students register for the Fall Quarter, their field placement may not yet be finalized. For tuition purposes, students need to be registered in a Field Internship class. To solve this issue, we create a generic section of the Field Internship class with the correct amount of credits.* When your tuition bills generate, you are in the correct amount of credits despite the fact that your field placement may not be finalized.*Unless you are on a Field Exceptions Form. In which case, the GSSW Office of the Registrar adjust your credits to match your Field Exceptions Form.
      • What happens after I register for the generic section? As your internship placements are confirmed, you are assigned a field liaison. The Field Office provides the GSSW Office of the Registrar a list of all students and their field liaisons. We then manually drop section FC of your Field Internship class and add the section that is tied to your liaison. We do this all in the background. It does not affect your record or tuition.
      • How do I register in the Winter and Spring quarters? For the Winter and Spring quarters, there will be no generic section of your Field Internship classes. You will register yourself in your liaison's section of Field Internship. We will provide a list of these sections as we get closer to registration.

Western Colorado MSW Program Course Schedules and Field Registration Information

Two weeks before registration, you need to start preparing for registration. Follow the checklist below:

    This is a hold you can resolve via your MyDU. Once you sign, the hold is immediately removed.

    • Log into MyDU with your DU ID (87#) and password
    • Using the search box function at the top of the screen, type "GSSW Academic Professional Standards Agreement"
    • Click on "GSSW Academic Professional Standards Agreement"
    • Read agreement and sign using your DU password

    This is a hold you can resolve via your MyDU. Once you sign, the hold is immediately removed.

    The registration hold on your student profile will indicate which official transcripts are missing from your record. If you have not already done so, please have official transcripts sent directly from the school directly to registrar@du.edu to clear this hold. They must be sent directly from the school to be considered official.

Visiting Student Registration & Course Procedures

Students interested in taking a class through another GSSW MSW program requires approval by the program directors. The GSSW Registrar facilitates the approval and registration process. You will be notified when you have been approved and registered, typically by the first week of classes. You must complete the Visiting Student Form by the following deadlines:

  • Fall Quarters: Aug. 1
  • Winter Quarters: Dec. 1
  • Spring Quarters: March 1
  • Summer Quarters: May 1

Receiving permission does not guarantee space in the requested course; registration is subject to available space in the course(s). Waitlists are not an option for visiting students.

You can apply for no more than 10 visiting student credits to apply toward your MSW degree. Tuition is charged at your ‘home’ program's tuition rate.

Please review key program differences with your advisor before submitting this application. Please review the Visiting Student Information Document and complete the Visiting Student Application after you have reviewed all the information.

 

GSSW Registration Frequently Asked Questions: Academic Courses

  • When can I register? When do I receive my time ticket and how do they work?

    You have an assigned day and time (time ticket) to register. The purpose of time tickets is to ensure the system can efficiently manage the number of students registering at any given time.

    Time tickets are automatically assigned to students based off total credit amount and then randomly assigned throughout the registration period. (To ensure fairness, advanced-standing students are calculated as if they are Concentration students.)

    Your time ticket will first appear on your MyDU Student Profile during advising week and will remain until the registration period has passed. You will not be able to register without a registration time ticket.

    If you do not see a time ticket on your Student Profile, check that you have selected the correct term. If you have selected the proper term and still do not see a time ticket, please email the GSSW Office of the Registrar at gsswregistrar@du.edu with a screen shot of your missing time ticket.

     

  • I need to register for a class that is full. How do I register for this course?

    You cannot register for a full course. Registration is closed for a course that has reached the seating capacity. Many courses are offered at multiple times or with different instructors. If the same course is offered at another time that is open and fits your schedule, you may register for it. You can register for a waitlist (see below for more information about waitlists).

  • How do waitlists work?

    Waitlists are prioritized on a first-come, first-served basis. The first student who registered for the waitlist will be offered the first available seat in the section. Being on the waitlist does not guarantee your entry into the class.

  • How do I look up my position on the waitlist?

    You may view your waitlisted classes by viewing your class schedule in MyDU .

     

  • Can I waitlist for a class if I am registered in the max credit amount?

    Yes. Although you may not register for credits over the max credit amount (18), you may add yourself to waitlists over the max credit amount. If you are notified that a seat is available in the waitlisted section, you must first drop credits to make room for your waitlisted class.

  • Can I waitlist for a class that has a time conflict with another course I am registered for?

    Yes. Although you may not register for sections with time conflicts, you may add yourself to waitlists that have time conflicts with other registered or waitlisted sections. If you are notified that a seat is available in the waitlisted section, you must first drop the registered section with a time conflict before adding the waitlisted section.

  • If I am on a waitlist and have a registration hold, will I be able to register for the waitlisted class?

    No, registration holds must be cleared prior to any registration activity, including waitlist activity. Remember, you only have 24 hours to register for a waitlisted class. It is best to resolve a registration hold before your registration period begins. Common Registration Holds and How to Clear.

  • How do I add/drop classes?

    Week 1: During week 1 of the quarter, you can add/drop as needed via your MyDU. It is best to make changes during week 1, which is within the 100% tuition refund period. Rather than wait, be refunded less tuition, and have to fill out paperwork. See the following.

    Adding an academic course beginning Week 2: Beginning the second week of the quarter, you will need to complete an add/drop form if you want to add an academic class. The instructor must sign this form. Please do not send the form to the DU registrar. Email it to your GSSW Registrar, gsswregistrar@du.edu

    Dropping an academic course week 2 to week 6: Students will drop courses via their MyDU. Please review your Academic Calendar. You are responsible to know add/drop and tuition refund deadlines.

    Dropping an academic course week 7 and week 8: You will need to complete an add/drop form if you want to drop an academic class during these weeks. The instructor must sign this form. Please do not send the form to the DU registrar. Email it to your GSSW Registrar, gsswregistrar@du.edu

    Beginning week 9 of the quarter you can no longer drop courses and will receive the grade earned.

  • Can I audit a class?

    Students in the Denver Campus MSW Program, Four Corners MSW Program and Western Colorado MSW Program who are registered for eight credit hours in a quarter may audit a course. Approval for auditing privileges is granted only after the formal registration period, only where space is available, when there are no students waitlisted for the course, and at the discretion of the instructor in consultation with the GSSW Registrar. No tuition is charged, no record of the course is made, and students do not formally register for the course.

    Please note: If you audit a class, the class will not count toward any graduation requirements.

    1. Email the instructor for permission to audit the class.
    2. Send the approval email to gsswregistrar@du.edu.
    3. After registration has begun and if there is no one on the waitlist, the GSSW Office of the Registrar will confirm with you and the instructor that you can audit the class.

    Things to think about:

    1. Classes you audit will not count toward any graduation requirements.
    2. You cannot audit the class and then later in the quarter ask to take the class for credit.
    3. You cannot register in a course for credit and then ask to take it for audit.
    4. If you have not discussed auditing classes with your advisor, reach out to explain that you intend to audit a class and why.
  • What does the technology or student activity fees cover? What are late fees?

  • Can I take classes after I graduate?

    Yes, you can take classes the quarter after you graduate. However, there are a few caveats.

    Students cannot take classes unless they are admitted in a program. The quarter you graduate, your program is complete and ends. For example, if you graduate in Spring quarter, your program completes and ends Spring quarter and you are no longer admitted into the program.

    If you want to take classes after you graduate, here are your options:

    1. You can delay graduation a quarter. You would register on our own for the next quarter and let the GSSW registrar know you want to delay graduation a quarter. Email us at gsswregistrar@du.edu with your DU ID. The GSSW registrar will manually move your graduation application to the next quarter. Regular financial aid and tuition rules apply because you are taking this class under your current program. You will want to check in with financial aid on how this impacts you specifically.
    2. You graduate on time and take classes the next quarter as a Non-Degree seeking student. Please complete the Non-Degree seeking student application for the quarter after you graduate. On the application, you indicate which course number and CRN you want to take. If there is room in the class, the GSSW Registrar manually registers you for this class. Financial aid does not apply to Non-Degree seeking students.

GSSW Registration Frequently Asked Questions: Field Internship Classes

  • How do I add/drop a field internship classes?

    Week 1: During Week 1 of the quarter, you can add/drop as needed via your MyDU. If you did not register for your field courses, please do so right away. If you registered for the wrong section(s) of field courses, please drop the wrong section then add the correct section. It is best to make changes during Week 1 rather than wait and have to fill out paperwork.

    Week 2 and Beyond: Beginning the second week of the quarter, you will need to complete an add/drop form if you failed to register for field courses or if you need to correct an incorrect field registration. The Add/Drop Form must be signed by your liaison for the section you need to add. You must enter the correct course information for the sections you need to add and/or drop, including section number and CRN. You can find course information listed above, Course Schedules and Field Registration Information by Program. Please do not send the form to the DU Registrar; email it to your GSSW Registrar at gsswregistrar@du.edu and copy your liaison.

    If you do not correct your field registration, you will have to go to Academic Exceptions to correct it.

  • What happens if I do not correct my field registration?

    There will be tuition and credit implications, graduation may be delayed, and you will need to go through Academic Exceptions to correct the error.

    The following are examples of common field internship registration errors.

    • Registering for just any section. You need to register for the section that is connected to your liaison, who is listed as the instructor.
    • Registering for the Concentration class when you are in your Foundation Year or vice versa. The liaisons might be the same, but the credits are not.
    • Not registering all for field internship classes.
