Student Responsibility for Registration Procedures

Graduate students are responsible for adhering to and knowing the following policies and procedures.

All students are expected to observe the academic policies and practices of the University set forth in the Graduate Bulletin. To correct registration errors students will have to complete the Academic Exceptions process.

Denver Campus MSW Program Course Schedules and Field Registration Information

  • Summer Quarter 2025

    Summer Term Dates: M, 07/14/2025 to Sat, 08/16/2025 (5 weeks) 

    Summer Field Dates: Sat, 06/14/2025 to F, 08/22/2025 (10 weeks)

    Course Schedules: The most up-to-date course schedules are in MyDU.

    • Tips for Viewing the Course Schedules:
      • Search by the subject "social work" and use the attribute "Social Work: Denver" to see only your program's classes.
      • All of your sections are in the 1s or 100s. If you see 200s, 300s or 500s, these sections belong to other MSW programs and you cannot register for them.

     

    Field Registration Directions: Denver Campus students do not typically participate in field over the summer. Those who are are either on a Field Exception Form or doing a BLOCK form of field. 

    • Field Exception Registration: If you are a traditional field student during the Summer terms, this mean you have a field exception form on file and the GSSW Registrar office will register you for Summer. Please reach out to the Field Education Office if you have questions about your field exception form, field@du.edu.
    • BLOCK Field Registration: These directions are specifically for block placement approved students ONLY. If you are not an approved block placement student, please reach out to the field office for clarification on your field registration, field@du.edu.

    🧭 Field Internship Registration – Fall 2025

     
    Key Steps

    On Friday, June 20, 2025, you will receive an email from field@du.edu with your registration directions for:

    • SOWK 4950 (Foundation Field Internship)
    • SOWK 4970 (Concentration Field Internship)
    • This email will include your CRN, section, and GSSW liaison (instructor).

     

    1. Use MyDU to register:
    2. Go to the Register for Classes widget, click Register for Classes, Click Register for classes again, Select Autumn Quarter 2025, and then
    • Directly enter your specific CRN from the email. Click on the tab directly next to Find Classes that says "Enter CRNs."
    • Do not search for field internship classes—search is turned off.

    • If you submitted your Field Confirmation Form before June 20, you’ll receive your instructions on June 20.
    • If submitted after June 20, you’ll get instructions one week after submission

    🧭 Field Internship Registration – Fall 2025 (Concentration Year)

    How to Register
    For the Fall Quarter, you will need to register yourself vis your MyDU for section FC of your Field Internship course:

    • Course: SOWK 4970, Concentration Field Internship
    • Section: FC (Generic Section)
    • Credits: 4
    • CRN: 4464

    Why Do I Register for a Generic Section in Fall?
    When you register for Fall Quarter, your field placement may not yet be finalized. However, for tuition billing purposes, you must be registered in a Field Internship course.

    To address this, we use a generic section (section FC) that ensures you are enrolled for the correct number of credits. This allows your tuition to be accurately billed even if your field placement is still being confirmed.

    Note: If you have an approved Field Exceptions Form, the GSSW Office of the Registrar will adjust your credits accordingly.

    What Happens After I Register for the Generic Section?
    Once your internship placement is finalized and you are assigned a field liaison, the Field Office provides this information to the GSSW Office of the Registrar.

    We will then update your registration behind the scenes — dropping the generic section FC and enrolling you in the specific section associated with your liaison. This process will not affect your student record or tuition charges.

    How Do I Register for Winter and Spring Quarters?
    In Winter and Spring, you will not use a generic section. Instead, you will register yourself in the specific section of Field Internship tied to your liaison. A list of these sections will be provided as registration for each term approaches.

    • These instructions will specify which specific Summer 2025 CRN, section and instructor (GSSW liaison) you register for. Via MyDU, you will directly enter your specific CRN(s) to register for your section(s) of Field Internship. Unlike previous quarters, you cannot use the "Find Classes" or search function for field internship registration. We turn the search feature off.     ***Important Notice About Field Internship Registration***

    Registering for the wrong section of your field internship can have serious consequences. When you register in a section that does not align with your placement, you will take a seat from a student who genuinely needs that section. This forces them onto the waitlist until the error is corrected, which is unfair to your peers.

    Please do NOT register for just any section.
    Incorrect registration can negatively affect your:

    • Field internship grading
    • Hour accruals
    • Graduation timeline

    Take the time to verify you are enrolled in the correct field internship course and section. If you’re unsure, consult your SAA before registering.

    Thank you for being responsible and respectful of your peers and your professional progress.

     

    Field Internship Registration Directions: Field Registration Begins: Monday, April 28, 2025 *You CANNOT register for Field until this day*

    You will register yourself in your current GSSW Liaison's section of the appropriate field internship class, via your MyDU.

    • The following are the Summer Quarter 2025 internship sections. Do not register for any section of your choosing. You are only authorized to register for your current liaison’s section of Internship.
      • Students beginning Field (courses roman numeral I (one)), you will register for any of the SOWK 4950, Foundation Field Internship I or SOWK 4970 Concentration Field Internship sections. As the quarters continue, you will register for the same section and same liaison every quarter.
      • Students continuing their Field (courses roman numeral II, III, or IV). You will register for the same section number and same liaison as you have in previous quarters. If the liaison is missing from the summer course information, register for the same section number and your liaison will populate at a later date. 
      • VFX students--pay close attention the VFX sections and register based off the enrollment restrictions in the below excel. 
      • Failure to register correctly for your field internship can impact grading, hour accruals, and graduation timelines. Please ensure you have registered for field internship credits correctly.

    How to Register
    For Fall Quarter, you will need to register yourself vis your MyDU for section WC of your Field Internship course:

    Why Do I Register for a Generic Section in Fall?
    When you register for Fall Quarter, your field placement may not yet be finalized. However, for tuition billing purposes, you must be enrolled in a Field Internship course.

    To ensure accurate tuition billing, we provide a generic section (WC) that carries the correct number of credits. This guarantees your tuition is billed properly, even if your placement details are still being finalized.

    Note: If you have an approved Field Exceptions Form, the GSSW Office of the Registrar will adjust your credits to match the form.

    What Happens After I Register for the Generic Section?
    Once your internship placement is confirmed and you are assigned a field liaison, the Field Office provides this information to the GSSW Office of the Registrar.

    We will then update your registration behind the scenes — dropping the generic section (WC) and enrolling you in the specific section assigned to your liaison. This process will not affect your student record or tuition charges.

    How Do I Register for Winter and Spring Quarters?
    For Winter and Spring Quarters, there will be no generic section of Field Internship. You will register yourself directly into your liaison’s section.

GSSW Registration Frequently Asked Questions:

  • When can I register? When do I receive my time ticket and how do they work?

    You have an assigned day and time (time ticket) to register. The purpose of time tickets is to ensure the system can efficiently manage the number of students registering at any given time.

    Time tickets are automatically assigned to students based off total credit amount and then randomly assigned throughout the registration period. (To ensure fairness, advanced-standing students are calculated as if they are Concentration students.)

    Your time ticket will first appear on your MyDU Student Profile 2-3 business days before registration begins and will remain until the registration period has passed. You will not be able to register without a registration time ticket.

    If you do not see a time ticket on your Student Profile, check that you have selected the correct term. If you have selected the proper term and still do not see a time ticket, please email the GSSW Office of the Registrar at gsswregistrar@du.edu with a screen shot of your missing time ticket.

     

  • I need to register for a course that is full. How do I register for this course?

    If you try to register for a class that's full, you'll receive a closed-course notification and, if available, the opportunity to join the course waitlist. If the notification says waitlist spaces are available, simply click "submit changes" to add your name. The status column should then display the word "waitlisted," confirming you've successfully joined the list.

    When a seat becomes available, an email notification will be sent to the student at the top of the waitlist, who will then have 24 hours to log in to PioneerWeb and add the class. Each open seat will be reserved solely for the student at the top of the list — no other student may register for the seat during the 24-hour time period. If the seat is not claimed within 24 hours, the reservation will roll over to the next student on the waitlist, who will then have 24 hours to add the class. This process will continue as spaces become available until 5:00 p.m. on Friday, the first week of class. After this time, waitlists will be closed.

  • Waitlist Questions

    Q: How do waitlists work? A: Waitlists for most classes are prioritized on a first-come, first-served basis. That is, the first student signing up for the waitlist will be at the top of the list and offered the first available seat in the class. Students may view waitlisted positions within their class schedules on PioneerWeb. A student in waitlist position 1 is next in line, and will move into position 0 if a seat becomes available. The higher your position on the waitlist, the higher your chances of being offered a seat in the class. 

    Q: How do I know if I get off the waitlist? A: When a seat becomes available, an email notification will be sent to the student at the top of the waitlist, who will then have 24 hours to log in to PioneerWeb and add the class. Each open seat will be reserved solely for the student at the top of the list — no other student may register for the seat during the 24-hour time period. If the seat is not claimed within 24 hours, the reservation will roll over to the next student on the waitlist, who will then have 24 hours to add the class. This process will continue as spaces become available until 5:00 p.m. on Friday, the first week of class. After this time, waitlists will be closed.

    Q: Do I need special permission to join a waitlist for a closed course? A: No. If a waitlist is available, you can simply choose that option from the drop-down menu after attempting to register.

    Q: Can student avoid the waitlist for a closed course by asking for instructor approval? A: No. In order to ensure the waitlist process is fair for everyone, no student may bypass it altogether.

    Q: What if I need to register for a closed course to meet graduation requirements? A: If you find a required course is closed, placing yourself on the waitlist is the right thing to do. GSSW evaluates waitlists the week after registration and are consistently making adjustments until the beginning of the term. Additionally, registering for an alternative course is a good idea while you wait to get off the waitlist. 

    Q: Can I waitlist for a class that has a time conflict with another course? A: Yes. Although you may not register for classes with time conflicts, you may join waitlists that have time conflicts with other registered or waitlisted classes. If a seat becomes available in the waitlisted class, you must first drop the conflicting registered class before adding the waitlisted class.

    Q: Can I waitlist for a class if I am registered in the max credit amount? A: Yes. Although you may not register for credits over the max credit amount (18), you may add yourself to waitlists over the max credit amount. If you are notified that a seat is available in the waitlisted section, you must first drop credits to make room for your waitlisted course credits. 

    Q: If I am on a waitlist and have a registration hold, will I be able to register for the waitlisted course? A: No, registration holds must be cleared prior to any registration activity, including waitlist activity. Remember, you only have 24 hours to register for a waitlisted class. It is best to resolve a registration hold before your registration period begins. Common Registration Holds and How to Clear.

    Q: If I receive a notification for an available waitlisted seat, but accidently drop the class, can I still register for it?  A: Yes. As long as it is within the 24-hour window, your spot will stay reserved, and you will be able to re-add the class.

  • What happens if my course is cancelled?

    If your course is cancelled, the GSSW Office of the Registrar will drop the class and you will be notified via your DU email of the cancellation. GSSW will also provide additional options (if applicable) but not limited to:

    • Additional open sections of the same course offered that term, which you may register for.
    • Information on when the course will be offered in the future. 
    • Additional courses that meet the same requirement as the cancelled course.

    GSSW will ensure you get in all courses needed to meet degree requirements and that you graduate on time.

    Additional things you can do that will help:

    • Have a plan B for your degree requirements, more than one course can meet a requirement. Meet with an advisor or review your Academic Planning and Advising information for guidance.
    • Place yourself on waitlists for any closed/full classes. As we use this information to determine what to offer. 
  • How do I add/drop classes once the quarter begins?

    Week 1: During week 1 of the quarter, you can add/drop as needed via your MyDU. It is best to make changes during week 1, which is within the 100% tuition refund period. Rather than wait, be refunded less tuition, and have to fill out paperwork. See the following.

    Adding an academic course beginning Week 2: Beginning the second week of the quarter, you will need to complete an add/drop form if you want to add an academic class. The instructor must sign this form. Please do not send the form to the DU registrar. Email it to your GSSW Registrar, gsswregistrar@du.edu

    Dropping an academic course week 2 to week 6: Students will drop courses via their MyDU. Please review your Academic Calendar. You are responsible to know add/drop and tuition refund deadlines.

    Dropping an academic course week 7 and week 8: You will need to complete an add/drop form if you want to drop an academic class during these weeks. The instructor must sign this form. Please do not send the form to the DU registrar. Email it to your GSSW Registrar, gsswregistrar@du.edu

  • What does the technology or student activity fees cover? What are late fees?

    Students in the Denver Campus MSW Program, Four Corners MSW Program and Western Colorado MSW Program who are registered for eight credit hours in a quarter may audit a course. Approval for auditing privileges is granted only after the formal registration period, only where space is available, when there are no students waitlisted for the course, and at the discretion of the instructor in consultation with the GSSW Registrar. No tuition is charged, no record of the course is made, and students do not formally register for the course.

    Please note: If you audit a class, the class will not count toward any graduation requirements.

    1. Email the instructor for permission to audit the class.
    2. Send the approval email to gsswregistrar@du.edu.
    3. After registration has begun and if there is no one on the waitlist, the GSSW Office of the Registrar will confirm with you and the instructor that you can audit the class.

    Things to think about:

    1. Classes you audit will not count toward any graduation requirements.
    2. You cannot audit the class and then later in the quarter ask to take the class for credit.
    3. You cannot register in a course for credit and then ask to take it for audit.
    4. If you have not discussed auditing classes with your advisor, reach out to explain that you intend to audit a class and why.
  • Can I take classes after I graduate?

    Yes, you can take classes the quarter after you graduate. However, students cannot take classes unless they are admitted in a program. The quarter you graduate, your program is complete and ends. For example, if you graduate in the Spring quarter, your program completes and ends Spring quarter and you are no longer admitted into the program. Meaning, you cannot take or register for classes the Summer quarter. If you want to take classes after you graduate, you must apply as a Non-Degree seeking student. 

    Please complete the Non-Degree seeking student application for the quarter after you graduate. On the application, you indicate which course number and CRN you want to take. You can find the course schedule on MyDU. If there is room in the class, the GSSW Registrar manually registers you for this class. Financial aid does not apply to Non-Degree seeking students.

GSSW Registration Frequently Asked Questions: Field Internship Classes

  • How do I add/drop a field internship classes?

    Week 1: During Week 1 of the quarter, you can add/drop as needed via your MyDU. If you did not register for your field courses, please do so right away. If you registered for the wrong section(s) of field courses, please drop the wrong section then add the correct section. It is best to make changes during Week 1 rather than wait and have to fill out paperwork.

    Week 2 and Beyond: Beginning the second week of the quarter, you will need to complete an add/drop form if you failed to register for field courses or if you need to correct an incorrect field registration. The Add/Drop Form must be signed by your liaison for the section you need to add. You must enter the correct course information for the sections you need to add and/or drop, including section number and CRN. You can find course information listed above, Course Schedules and Field Registration Information by Program. Please do not send the form to the DU Registrar; email it to your GSSW Registrar at gsswregistrar@du.edu and copy your liaison.

    If you do not correct your field registration, you will have to go to Academic Exceptions to correct it.

  • What happens if I do not correct my field registration?

    There will be tuition and credit implications, graduation may be delayed, and you will need to go through Academic Exceptions to correct the error.

    The following are examples of common field internship registration errors.

    • Registering for just any section. You need to register for the section that is connected to your liaison, who is listed as the instructor.
    • Registering for the Concentration class when you are in your Foundation Year or vice versa. The liaisons might be the same, but the credits are not.
    • Not registering all for field internship classes.

Cognate Student Registration

  • Cognate Requests: GSSW students wanting to take courses outside GSSW

    The following is general guidance on how to take classes outside GSSW. 

    • Meet with Denver campus advising to ensure this course will count towards your MSW degree. Denver Campus Advising denvercampusadvising@du.edu 
    • Email the instructor of the non-GSSW course and request permission to enroll. Include your name, 87#, course information, and why you would like to enroll in the course.  
      • It is a good idea to explain your education background, what college you are in, why you want to attend the class, and how it will apply to your education. 
    • If the instructor approves, you will need to register for the class but every program across DU does things differently when it comes to registration. My suggestions for registering for the class are:
      • First, try to register for the class via your MyDU. Some colleges do not put restrictions on their classes and you may be able to register without any issues. 
      • IF you get an error when you try to register, read the error message then act accordingly. The following are the most common error you might get. 
        • If you receive a program restriction error this means the department puts restrictions on their classes and you need to reach out to the department to register. It is best to respond back to the instructor who gave you permission and ask who to reach out to in the department to help with registration. 
        • If you don’t meet the pre-requisite, then you cannot take the class.
        • If the class is full, you may put yourself on the waitlist. 
    • If instructed by Denver Campus Advising, complete a waiver/substitution form and submit it to a faculty advisor via the online advising form for approval and signature.  
  • Cognate Requests: Students outside GSSW wanting to take GSSW classes

    Thank you for considering taking GSSW classes. We have a process for students outside GSSW who want to take SOWK classes. 

    • Reach out to the instructor and ask permission to take their class. Email is best as we need to keep this for documentation.
      • It is a good idea to explain your education background, what college you are in, why you want to attend the class, and how it will apply to your education. 
    • If the instructor approves, please forward the email to GSSWregistrar@du.edu with your DU ID, course number, course title, and CRN. 
    • GSSW students do have priority but if there is room in the class, our office will manually register you in the requested class and notify you. 
      • GSSW has restrictions on our classes and you will not be able to register yourself in SOWK classes
      • If for any reason we cannot register you, we will notify you via email. (e.g. the class is full, cancelled, etc.). 

    Considerations:

    • It is a good idea to discuss this with your college and/or your advisor before asking for permission to take a GSSW course.
